Operations and Special Projects Manager

Reporting to: Vice President
Date: April 2019



Assuming overall responsibility for the strategic management and leadership of all operational functions across 3 retail stores, a cafe and the head office.  The ideal candidate is someone who can infiltrate the business working at all levels overseeing every detail and working with a firm, clear and very professional management style.

Key Responsibilities include but are not limited to:


  • Develop and execute the departmental critical path
  • Work closely with the Vice President to create budgets, project scope and timelines
  • Submit budgets to the Finance Department to ensure cost control and containment
  • Research and propose solutions to operational challenges
  • Stay abreast of new technologies and developments in order to ensure operations function to promote overall growth and increase efficiencies within the company
  • Communicate weekly projects companywide


  • Work with the Facilities Supervisor to ensure regular maintenance visits are scheduled and that company assets are maintained to company standards
  • Conduct periodic checks to confirm that the cleaning teams are keeping all locations maintained in accordance with company standards

Special Projects

  • Develop simple floorplans, elevations and renderings as needed for internal and external use
  • Supervise all architectural and construction activities involved with buildouts, temporary and permanent installations
  • Oversee contractor activities, review bids and offers, ensure contractor drawings are accurate and aligned with project concept
  • In charge of  fixture development, sourcing, reordering and storage
  • Manage all event and merchandise launches as it pertains to operations

Technology Management

  • Oversee all companywide IT functions
  • Work closely with contracted IT support companies to achieve company goals
  • Manage company phone network and security camera system
  • Keep AV equipment properly maintained


  • Ensure company Operations, Special Projects and IT are set up in a way that excellently supports all aspects of the business
  • Preventative and reactive repairs, maintenance, safety and code compliance.

  • Ensure company-wide operations are structured to support all areas of this business
  • Create and lead a strong, well-managed operations team
  • Identify and implement initiatives that focus on increased operational effectiveness
  • Ensure that operational policies and procedures are developed, effectively implemented and maintained to achieve organizational consistency and efficiency across special projects, information technology and facilities management
  • Work closely with the Senior Management team to ensure interdepartmental cohesiveness




  • A highly motivated individual with a strong sense of ownership and responsibility and the ability to converse with all levels both internally and externally
  • Must be energetic and self-motivated. Willing to do whatever is required to get the job done 
  • Decisive, structured and organised, with a keen eye for detail
  • Excellent at working and delivering against deadlines and the ability to work under pressure
  • Performs as a team-player


  • Advanced MS Word, Excel, Photoshop, Sketch up and PowerPoint skills required
  • Ability to read and understand architectural construction documents and specifications
  • Must possess excellent project management skills
  • Excellent communication and negotiation skills
  • Highly Organized

Education and Experience

  • Bachelor’s Degree required, advanced degrees preferred
  • 3-5 years of relevant project management and operations experience
  • Building and construction and/or architectural industry knowledge is preferred
